Although this module originates in our work with local government, it can prove useful to many types of public sector organisations. Any organisation that has a board of governors overseeing strategic operations, such as colleges, NHS trusts or universities, can benefit from it.

The councillors, committees and meetings module has been designed so that you can display councillor (or governor) listings on your website, as well as the relationship between councillors, and which committees they are members of. You can also designate councillors as being the chair or vice-chair of the committee.

The module is broken out into sub-modules to make it easier for the person configuring them. It consists of a flexible set of controls which can be dropped into page templates. The pages created will be based on the standard definitions provided as part of the module, but they can be amended by the client if need be. It also integrates with the taxonomy manager.

Councillors

A wide range of data can be recorded for the councillor, including political affiliation, ward and any appropriate personal data. You can choose to add additional profile fields, a website address for a councillor (if they’re a prolific blogger, for instance) and a field to allow a councillor to mention their membership of other bodies.

Committees

Each committee, such as finance, main board etc, is set up within the dedicated screens.

Assigning councillors to committees

In order for users to change committee membership, they have to be a member of a built-in contensis user group called “committee manager”. Once a user is in this group they will have access to the councillor and committee icon in the Contensis top navigation. When you select this option, you are presented with a current list of committees.

Once you are on the committee of your choice, you can assign members and indicate their role within the committee.

Committee meetings

There is a “Create meeting” wizard to create a committee meeting.

Meetings each have their own page with URL paths that reflect a good date-based structure which aids organisation and SEO.

Publishing meeting documents

Once a meeting has been created, you can upload PDFs or Word documents to publish out to the website.

If there are no minutes uploaded for a meeting, then Contensis will automatically hide the associated area in the published page. This gives the user the flexibility they need to ensure the correct terminology is output on their websites.
